A Financer is a lender your customers can borrow from to pay for a purchase, and a Financer Scheme is one finance product that lender offers. Together they form the master list that a Finance Case — the record of a customer's finance application against an order or invoice — picks its Finance Provider and Financer Scheme from. You set the masters up once, before your team starts recording finance cases, and add to them as lenders and their products change.
Overview
The two records are simple reference data:
- A Financer carries only its Name. It has no address, contact or terms of its own.
- A Financer Scheme belongs to one financer and describes a product: its name, the amount range and tenure range it covers, a free-text list of features, and optionally the dealer account or account group it is meant for.
Nothing else in xMatix depends on how you fill these in beyond the name. They exist so that finance cases, incentive targets and compensation lines can name a lender and a scheme from a controlled list instead of free text.
When to use it
- You sell to customers who pay through a bank or finance company, and you want each sale's finance application recorded against a named lender.
- You want lists and reports of finance cases grouped by lender or by scheme.
- You want your sales team to see, in one place, which lenders you work with and the headline terms of their schemes.
If you do not record customer finance, you can leave both lists empty.
How xMatix handles it
- Financers and schemes are not on a seeded app's menu. None of the shipped apps lists Financer, Financer Scheme or Finance Case as a navigation entry. An administrator adds them to the app your team uses (see Configuration below).
- The list is the reference; the scheme terms are guidance. The amount range, tenure range and applicability you enter on a scheme are shown on the scheme record for your team to read. xMatix does not check a finance case's amounts or tenure against them, and it does not hide a scheme from dealers it was not meant for.
- The two pickers on a finance case are independent. On the finance case form, Finance Provider lists every financer and Financer Scheme lists every scheme; choosing a provider does not narrow the scheme list. Make sure the scheme you pick belongs to the provider you picked.
- The lender does not change any amounts. What a finance case adds to an order or invoice depends on its own amount fields, not on which financer or scheme it names.
Prerequisites
- Financer and Financer Scheme are on an app your profile can open. If you cannot find them, ask your administrator.
- Your security profile grants access to the two entities. The shipped System Admin, Standard User, Sales Executive and Sales Manager profiles grant full access to both.
- To set a scheme's Applicable Partner Account or Applicable To Partner Account Group, the dealer account or account group already exists.
Procedure
Step 1 — Add a financer
Open the Financer list (the default view is All Financers, showing Name, Created By and Created Date). Choose New. The Create Financer form asks for one field, Name — enter the lender's name as your team will recognise it. Save. The record opens with a Key Information panel showing the name and a System Information panel with the owner and audit details.
Step 2 — Add a scheme for that financer
Open the Financer Scheme list (default view All Financer Schemes) and choose New. On the Financer Scheme Create form:
- Enter the scheme's Name — this is the name finance cases will show.
- Pick the Financer that offers it. This is required.
- Enter Minimum Amount and Maximum Amount (two decimals), and Minimum Tenure (in month) and Maximum Tenure (in months) (whole months).
- Optionally pick an Applicable Partner Account or an Applicable To Partner Account Group to record which dealers the scheme is meant for.
Save. The scheme record opens with three panels — Key Information (name, financer, Features), Loan Terms (the amount and tenure ranges) and Applicability — plus System Information. The header shows Minimum Amount and Maximum Amount as statistics.
Step 3 — Describe the scheme's features
Features is not on the create form. Open the saved scheme, choose Edit, and type the scheme's selling points into Features — for example the interest rate band, processing fee and documents needed. Save.
Step 4 — Use them on a finance case
On a new finance case, the Finance Provider and Financer Scheme fields at the top of the form list the records you created. Pick the lender first, then a scheme that belongs to it. See the Finance Case reference for the rest of the finance case form.
Step 5 — Change or copy a financer or scheme
Open the record and choose Edit to change it; renaming a financer or scheme changes the name every finance case that points at it shows. To set up a similar scheme quickly, open an existing one and choose Clone. Confirm Clone in the Clone Record dialog; xMatix creates a copy that you then edit.
Step 6 — Retire a financer or scheme
Choose Delete on the record (or select rows in the list and delete them). Delete moves the record to the Recycle Bin, from which an administrator can restore it until its Purge After date. Deleting a financer does not delete its schemes, and it does not clear the financer from finance cases that already name it — so delete or reassign the schemes yourself, and prefer leaving a lender in place while it still has open finance cases.
Fields
Financer
| Field | What it means | Notes |
|---|---|---|
| Name | The lender's name | Required. Typed by you — there is no automatic numbering. This is what every Finance Provider and Financer picker shows. |
| Owner | The user who owns the record | Defaults to you. Used by record sharing. |
| Created By, Created Date, Modified By, Modified Date | Who created and last changed the record, and when | Set by the system. |
Financer Scheme
| Field | What it means | Notes |
|---|---|---|
| Name | The scheme's name | Required. This is what the Financer Scheme picker on a finance case shows. |
| Financer | The lender that offers the scheme | Required. |
| Financer Scheme Name | A second name box on the forms | Has no stored column, so it does not hold a value. Use Name. |
| Features | Free-text description of the scheme | Up to 1,000 characters. On the View form only. |
| Minimum Amount, Maximum Amount | The loan amount range the scheme covers | Two decimals; the create form does not accept values below zero. For reference only; not checked against finance cases. |
| Minimum Tenure (in month), Maximum Tenure (in months) | The repayment period range, in months | Whole numbers; the create form does not accept values below zero. For reference only. |
| Applicable Partner Account | The dealer account the scheme is meant for | Optional. For reference only; does not restrict who can pick the scheme. |
| Applicable To Partner Account Group | The group of dealer accounts the scheme is meant for | Optional. For reference only. |
| Owner, Created By, Created Date, Modified By, Modified Date | Ownership and audit details | Set by the system, except Owner. |
The scheme entity also has Description and External fields that are not on the shipped forms. An administrator can add them to a layout; External must be unique and is meant for an identifier from another system.
Business rules
- Required fields. A financer needs a Name. A scheme needs a Name and a Financer.
- No automatic numbering. Neither record takes a number from a document-name setting; the name is whatever you type.
- No validation against scheme terms. A finance case can carry any amount and tenure, whichever scheme it names. The finance case's own checks (for example "Requested Amount cannot be Negative." and "Disbursed Amount cannot be greater than the Requested Amount") do not involve the scheme.
- No dealer restriction. Every user who can see schemes sees all of them in the picker, whatever the scheme's applicability fields say.
- Delete does not cascade. Deleting a financer leaves its schemes and the finance cases, incentive targets and compensation lines that name it unchanged.
- Auditing. Both entities are audited, so field changes appear in the record's history.
Example
Your company sells two-wheelers through dealers and works with a lender, Sunrise Auto Finance, that offers a standard loan.
- An administrator adds Financer, Financer Scheme and Finance Case to your Sales app's navigation.
- You create a financer named Sunrise Auto Finance.
- You create a scheme named Sunrise Standard 36, with Financer Sunrise Auto Finance, Minimum Amount 20,000.00, Maximum Amount 150,000.00, Minimum Tenure (in month) 6 and Maximum Tenure (in months) 36.
- You edit the scheme and enter in Features: "Up to 85% of on-road price; processing fee 1%; KYC and two months' bank statements."
- A salesperson records a finance case for a customer's order, picks Finance Provider Sunrise Auto Finance and Financer Scheme Sunrise Standard 36, and fills in the requested amount and tenure from the scheme sheet.
Training
Practice exercise
In a sandbox, create a financer called Practice Lender and two schemes for it: Practice 12 (amount 10,000–50,000, tenure 3–12 months) and Practice 24 (amount 50,000–200,000, tenure 12–24 months). Clone Practice 24 and rename the copy Practice 24 Plus. Then delete Practice 12.
Expected result: the All Financers list shows Practice Lender; the All Financer Schemes list shows Practice 24 and Practice 24 Plus with Financer Practice Lender and their tenure ranges; Practice 12 appears in the Recycle Bin.
Quick reference
- A financer is just a name; the terms live on its schemes.
- Scheme name goes in Name, not Financer Scheme Name.
- Features is filled in after the first save, on the View form.
- Amount, tenure and applicability on a scheme are guidance — nothing enforces them.
- On a finance case, pick a scheme that belongs to the chosen provider; the pickers do not filter each other.
- Clone copies a scheme so you can tweak it.
- Delete goes to the Recycle Bin and does not touch schemes or finance cases.
Permissions
Access is granted per entity on the security profile:
| Profile (as shipped) | Financer | Financer Scheme | Clone |
|---|---|---|---|
| System Admin | Full access | Full access | Yes |
| Standard User | Full access | Full access | Yes |
| Sales Executive | Full access | Full access | Yes |
| Sales Manager | Full access | Full access | No |
A user whose profile has no read access to an entity does not see it in navigation. The Clone button is granted separately as a server action. Schemes use the platform's default record sharing, so ownership, the role hierarchy, manual sharing and team access apply as they do for other owned records — see record-level security.
Configuration
- Put the lists on a menu. Go to Setup → Design Studio → Apps, open the app your sales team uses, and use Manage Items to add Financer, Financer Scheme and Finance Case. The create-an-entity walkthrough shows the same step for any entity.
- Grant access. Give the profiles that maintain the lists read, create, edit and delete on both entities, and read on both to anyone who records finance cases. Grant Clone where people set up similar schemes.
- Forms. Financer uses Create Financer, Financer View and Financer Preview; Financer Scheme uses Financer Scheme Create, Financer Scheme View and Financer Scheme Preview. You can move Features onto the create form, remove the unused Financer Scheme Name box, or add Description and External in the layout designer.
- List views. All Financers and All Financer Schemes are the default views. Add a view that filters schemes by Financer if your team works lender by lender.
- Narrow the scheme picker on finance cases. Finance Case ships with lookup filters on Account, Partner Account and Branch only. If you want Financer Scheme to offer only the chosen provider's schemes, add a lookup filter on that field under Setup → Design Studio → Entities → Finance Case → Schema → Lookup Filters.
- Enforce scheme limits. If you want a finance case's amount checked against its scheme's range, that needs a validation or business rule you configure; the platform does not do it.
Common problems
I can't find Financer or Financer Scheme anywhere
They are not on any shipped app's menu. Ask an administrator to add them to an app with Manage Items, and check your profile has read access to both entities.
The Financer Scheme picker on a finance case shows schemes from other lenders
The picker is not filtered by Finance Provider. Choose a scheme that belongs to your lender, or ask an administrator to add a lookup filter.
The name I typed in Financer Scheme Name is not on the scheme
That box has no stored column. Type the scheme's name in Name.
A finance case was saved with an amount outside the scheme's range
Scheme ranges are for reference and are not checked. Correct the case's amounts by hand, and ask an administrator for a business rule if you need the check enforced.
Finance cases still show a lender we deleted
Deleting a financer does not update records that already name it. Point those finance cases at the current lender, or restore the financer from the Recycle Bin.
Common questions
Can a financer offer more than one scheme?
Yes. Create one Financer Scheme record per product and pick the same Financer on each. There is no limit on how many schemes a lender can have, and each scheme has its own amount and tenure ranges and features. Finance cases then pick the scheme that matches the customer's application. Use Clone to copy an existing scheme and change only the terms that differ, which keeps naming and features consistent across a lender's products.
Does a scheme's applicability stop other dealers from using it?
No. Applicable Partner Account and Applicable To Partner Account Group record which dealers a scheme is meant for, so your team can read it on the scheme. They do not hide the scheme from anyone or block a finance case that names it. If you need schemes to appear only for certain dealers, an administrator can add a lookup filter on the finance case's Financer Scheme field, or you can rely on record sharing to limit who can see each scheme record.
Do financers or schemes affect incentives?
Incentive targets and compensation lines have Financer and Financer Scheme fields, so you can record which lender a target or line relates to. The incentive engine does not use those fields when it counts achievement: it matches targets on item, account and item group only. Treat them as labels for reporting. See Incentive plans for what the engine does count.
