A visit runs as check-in → tasks → order → check-out, all on the mobile app. Every step works offline: your saves queue on the device and sync when coverage returns, so you complete the visit the same way whether or not you have a network at the outlet.
Prerequisites
- The xMatix mobile app, signed in, with a visit plan for today that includes the outlet.
- If your organization gates the app behind attendance, you must be checked in for the day first — see Attendance.
- If your organization requires a device location to start or end visits, location permission for the app.
Procedure
Step 1 — Open today's plan
Open the visit-plans hub. Today's plan is the highlighted current card — tap it (or its Continue button) to open the day's agenda. Confirm that the plan date is today and that the expected outlet appears before continuing; this prevents activity being recorded against an older or future plan. The agenda lists your stops as a timeline or a map, in whichever sequence you have selected: Planned, Optimized, or Mostly Followed.
Step 2 — Check in at the outlet
Open the visit for the outlet you are standing at, verify the account name and address, and tap Check in. The app stamps the start time and captures your location where your organization requires one; wait for the live timer or in-progress state before leaving the screen, because that is confirmation the check-in was saved. If a required location cannot be captured, the start is blocked until the device can provide one—restore location permission, move where the phone has a clear fix, and retry rather than starting a different outlet's visit.
Step 3 — Work the tasks and checklists
The visit's activity panel lists everything expected at this outlet—checklists, photos, a signature, stock checks, payment collection—with mandatory activities marked. Open each activity, read its prompt, capture the requested evidence, and tap its completion action; then return to the activity panel and confirm its status changed to complete. Photos and signatures attach to the activity, and every completion queues in the outbox if you are offline, so a pending-sync indicator is acceptable but a still-open activity is not.
Step 4 — Take the order
Open the Take Order activity. It opens a full-screen catalog with the customer's prices; add the requested items, review quantities, price, discount and total, and confirm only after the customer agrees. Return to the visit and verify the activity shows the created order or completed state. The catalog and price data are already on your device, so ordering works without a network—the order is created against the visit and shows as queued until coverage returns.
Step 5 — Check out with an outcome
Tap Check out only after reviewing the activity panel for unfinished mandatory work. The outcome sheet asks you to declare how it went: Productive (visit done, order captured), Non-productive (you were on site but could not sell) or Cancelled (the visit did not happen). Non-productive and Cancelled require a specific reason—for example, "Store closed"—and a Productive close requires every mandatory activity to be complete. Confirm the visit shows an end time and final outcome; if offline, also confirm the completed visit appears in pending changes rather than reopening it and creating duplicate activity.
Expected result
The visit is closed once with a start time, end time, final outcome and all captured activities linked to the correct outlet. Any order or evidence saved offline remains in the durable outbox and changes from pending to sent when connectivity returns; the back office then sees the same visit, outcome and linked records.
Common problems
If you cannot start or end a visit, the usual cause is a required device location the phone has not produced yet — step outside or wait for a fix. If the Productive option is blocked at check-out, you have mandatory activities still pending; finish them or close the visit as Non-productive or Cancelled with a reason. If the office cannot see your order yet, it is still queued — check the pending-changes screen; the item shows as waiting, sent, or failed with the reason attached.
Common questions
Can I complete visits in a different order than planned?
Yes. The sequence on the agenda is guidance; you can open any visit on the plan. The system even learns the order you actually follow and offers it back as the "Mostly Followed" sequence.
What if the outlet is closed when I arrive?
Check in, then end the visit as Non-productive or Cancelled with the reason. That is deliberately quick — a closed store should cost you seconds, and the recorded reason keeps coverage reporting accurate.
Do I lose anything if my battery dies mid-visit?
