Common questions

What is xMatix?

A business platform your organization uses to run its day-to-day operations — sales, field work, inventory, service, finance and more — from one place, on the web and on mobile. Your organization configures which apps its people see, and every user works with one account across both surfaces. Orientation for new users starts at Getting started with xMatix.

How do I get the mobile app?

From your organization — your administrator sends the installation instructions for your device, because the installation route is set up per organization. Don't go searching for it yourself; if you have no instructions, mobile access likely hasn't been rolled out to you yet, and your administrator can confirm and arrange it. Setup, first sync and sync status are covered in Using xMatix on mobile.

Does it work offline?

Yes — the mobile app is built offline-first. Screens read from a local copy of the data your role works with, edits made without a network wait in a durable outbox and sync automatically when connectivity returns, and the sync status screen shows exactly what has and hasn't reached the server. There is no separate offline mode to switch into. The design is explained in How offline-first mobile works.

How is our data isolated from other customers?

Every organization gets its own tenant — an isolated environment holding its users, records, configuration and customizations — and the platform enforces that isolation on every read and write, not through configuration anyone could get wrong. No user of another tenant can see your data, and no report, search or integration crosses tenant boundaries. See Tenants, companies and organizations.

What can the AI do — and what can't it?

Sense, the AI layer, answers questions about your data, surfaces deterministic nudges with plain-language explanations, reads shelf photos, and helps administrators configure the platform. Two hard limits govern all of it: Sense works strictly within the asking user's own permissions — there is no elevated identity behind it — and nothing it proposes changes data without a human confirming. How do I import existing data?

Through the import wizard: upload an Excel, CSV or JSON file, map its columns to an entity's fields, and run the import in the browser or as a background job, with a per-row result for every line and a retryable history per run. Each run loads one entity, so related data is imported parents-first. The full procedure is Import data with the import wizard.

Can we customize it without writing code?

Mostly, yes. Custom entities and fields, form layouts, business rules, approval processes and workflows are all configured in Setup — declarative, previewable, and safe across product updates. Server-side automation scripts are the deliberate exception at the top of the ladder, for logic nothing declarative can express. The rule that keeps a system maintainable — pick the lowest rung that solves the problem — is explained in the customization ladder, and the tools are documented in Customizing xMatix.

What integrations exist?

One integration surface with two levels: the Integration Hub (apps, connections, flows) and declarative sync profiles on top that keep entities in step with an external system, with change detection, conflict handling and a per-record ledger. Connectors include a generic HTTP/REST connector, SFTP and message queues, plus named connectors for systems such as Tally and the Zoho family, and a catalog of reviewed manifest connectors for standard REST partners. How is xMatix licensed?

In three layers: tenant licenses (products, individually licensed features, and packages, enabled per organization with optional seat counts and expiry), per-user seats on those licenses, and module switches. Licensing always composes with security profiles — a user needs both an entitlement and a security grant before anything becomes usable. Can user access be scoped to specific companies?

Yes, where an organization transacts through multiple legal entities and enables multi-company mode: a user's access can then be limited per company, with viewing and transacting granted separately, while administrators and group-reporting roles can span all companies. Single-company organizations never need this — the mode is off by default and everything works without it. See Tenants, companies and organizations.
